Conference Fee Refund & Cancellation Policy

Thank you for registering for the SIP2025 Conference in University of British Columbia (UBS), Vancouver, Canada. Please read our refund and cancellation policy carefully.



Non-refundable and Non-transferable Policy

Upon completion of registration and payment of the applicable conference fee, your registration is considered final and binding. All conference registration fees are non-refundable and non-transferable. No exceptions will be made, regardless of the reason for cancellation or inability to attend, including but not limited to:

  • Illness or medical emergencies
  • Travel-related issues (visa denials, flight cancellations, etc.)
  • Changes in professional circumstances
  • Personal emergencies
  • Any other unforeseen circumstances


No Disputes via Bank or Credit/Debit Card Providers

By completing registration and paying the conference fee, you explicitly agree:

  • Not to dispute or challenge the charge through your bank, credit card provider, or debit card issuer
  • That initiating such disputes or chargebacks will constitute a breach of this agreement
  • That such actions may result in administrative measures including potential suspension from future conference events


Enforcement & Blacklisting Clause for Payment Disputes

Initiating a Dispute Will Lead to Immediate Blacklisting

By registering and submitting payment for the SIP2025 Conference, you are entering a legally binding agreement that includes strict adherence to our Terms & Conditions, including this Refund & Cancellation Policy.

Any participant who initiates a dispute or chargeback through their credit card, bank, PayPal, or any other payment platform will be immediately blacklisted from the SIP2025 Conference and permanently disqualified from future REPA-organized events.

As a consequence of such violation:

  • Your name, affiliation, country, and submitted details will be publicly published under the Blacklisted Participants List on our official page:

  • Your invitation letter and visa support package will be revoked, and a report will be submitted to the IRCC (Canada) regarding misuse of academic documentation.
  • You forfeit all rights to participate in any form (in-person or online), even if the payment was successfully completed.
  • Legal action may be taken for any damages resulting from fraudulent actions or violations of digital agreement terms.

Please understand that such behavior is considered a serious ethical violation within the academic and professional community and will be addressed accordingly.



Supporting Legal Framework

This refund and cancellation policy aligns with standard industry practices for professional and academic conferences. Key legal considerations include:

  • Contract Law: Your acceptance of these terms upon registration establishes a legally binding agreement
  • Electronic Transactions: Governed by the Uniform Electronic Transactions Act (UETA)
  • Digital Agreements: Recognized under the Electronic Signatures in Global and National Commerce Act (ESIGN)


Example of Policy Enforcement

For clarity, consider these scenarios:

  • If you register and pay but later cannot attend due to unforeseen circumstances, the fee remains non-refundable
  • No partial refunds or credits will be issued for any reason
  • Online participation access will still be provided to all registered attendees
